Time Entry

You must successfully save your time entries or they will disappear when you log out. You can confirm that your time entry has been successfully saved if the Daily column reflects the hours you have just saved. If your hours are not saving, it is due to an error in the way you are trying to enter your hours. If you cannot locate the error, send a screenshot of your pending time entry to Payroll and they will help you.

I entered my hours but when I went back to eTime they were gone. Why does this occur?

My Schedule is incorrect in ADP eTime. What do I do?

Send your correct schedule to Payroll, and your schedule will be corrected.

My timecard shows an unexcused absence, but I am here. What does this mean?

You will see an Unexcused Absence flag on a given day until you enter and save your hours for the day.

How do I enter a partial day in ADP eTime?

1. Enter the regular hours you worked for the day, (e.g., 900a to 1200p) and click Save. Your Daily total column will now display the regular hours worked (e.g., 3.0 hours).
2. To determine the hours not yet captured, subtract the hours worked from your regularly scheduled daily hours (e.g., 7.5 hours – 3.0 hours = 4.5 hours). Your final entry must capture these hours.
3. On a second row, select the appropriate Pay Code from the drop down (e.g., Sick) and enter the remaining hours in the Amount column (e.g., 4.5 hours).

Note: For a partial day off, please get manager approval in advance whenever possible, and ask him/her whether your partial day off should be requested via the ADP eTime Calendar. For instructions, please see the Requesting Time Off QRG section entitled, I would like to take a partial day off. Do I need to request this time off via the ADP calendar, just like I would a scheduled full day?

Requesting Time Off
I would like to take a partial day off. Do I need to request this time off via the ADP calendar, just like I would a scheduled full day?

Please ask your Manager what he/she prefers. If you do submit a request for a partial day, please check your daily total after you enter your regular hours for the day. Your daily total should be equal to your regularly scheduled day. If it is greater than your regularly scheduled day, it means you requested more time off than necessary. To correct this, cancel the partial day request and enter the correct amount of time by hand so that your daily total equals your regularly scheduled day. For instructions, please see the Requesting Time Off QRG section, "How do I enter a partial day in ADP eTime?"

I requested a different number of days off via the ADP eTime calendar than I plan to use. What do I do?

If you requested a different number of days off than you plan to use (whether more days or fewer days), follow these steps:
1. Cancel the pre-approved request.
2. Wait for that request to be “rejected” by your manager.
3. Do the most appropriate of the following:
a. If the request is for future time off, resubmit the correct time off request via the ADP eTime calendar.
b. If there is no time to resubmit your request via the calendar (e.g., the request is for today), manually enter a new row for the correct time.

I would like to take time off that spans a weekend. Can I do this with one request or do I need to submit multiple requests?

If you would like to take time off that spans a weekend (e.g., Thursday through Tuesday), you must submit two separate requests:

  • One request for Thursday–Friday
  • A second request for Monday–Tuesday
How can I check how much time off I will have accrued by a particular date?
  • Start a Request for Time Off.
  • Set the date for Accruals on to see how much time off you will have accrued at that point. (Click the calendar icon and browse to the date needed.)
How can I quickly see if I have already submitted a request for time off on a particular day (or days)?Search for the date of your request in My Calendar in ADP eTime, which will display the notation Time Off Request if you have submitted one already.
  • In ADP eTime, go to My Calendar (click gear and choose Pop-Out).
  • Hover over Time Off Request. A yellow pop-up will show the status (Submitted, Approved, Retracted, etc.) and the category of time off used (e.g., Vacation).
  • Click the blue circle to the right of Time Off Request, and then choose Details.

  • A window will display showing Start Date and End Date, as well as other details of the request.

NOTE: Although you can view your time off requests on the calendar, your timecard will not update to show it (e.g., "Vacation" in purple) until 10 business days prior to the first day of your requested time off.

How can I delete a duplicate Request for Time Off that I submitted accidentally?

In My Calendar in ADP eTime, search for the beginning date of your requested time off and then Retract the duplicate request:
1. In ADP eTime, go to My Calendar (click gear and choose Pop-Out).

2. Search for the first day of the request in question (click the Calendar icon):

3. Look for Time Off Request, displayed at the top of the column for that date. (You'll see Time Off Request twice if there are duplicate requests.)
4. Hover over each Time Off Request.
5. The yellow pop-up will show the status.

6. If one was already approved, make sure to retract the other one (Submitted).
7. Click the blue circle to the right of the duplicate Time Off Request, and then choose Retract.
8. On the next dialog, type a comment (under Notes) if you wish, and then click Submit.
9. The status of your request will change to Retracted. (You can check it by hovering over the small arrow to display the yellow pop-up.)

NOTE: You will <b>continue to see Time Off Request at the top of that date in the Calendar. (It's a notation simply retained by the system and never goes away.) As long as the Status shows Retracted, you're done.

How can I tell why my supervisor refused my time off request?

Find the Time Off Request on your Calendar in ADP eTime and view Details to see if your supervisor entered a comment. Here are the steps:
1. In ADP eTime, go to My Calendar (click gear and choose Pop Out).

2. Search for the first day of the request in question (click the Calendar icon):
3. Look for "Time Off Request", displayed at the top of the column for that date.
4. Click the blue circle to the right, and then choose Details.

5. Look in the field under Status History. Your supervisor may have entered a comment, explaining the reason your request was refused. If there is no comment, or if you have questions, contact your supervisor.

Holidays
Will hours for a firm holiday autopopulate, or do I need to enter something?

They will populate automatically. Do not enter anything for a firm holiday (unless you worked that day).

Reviewer Functions
Why is the Notification bar still showing several time off requests as pending despite the fact that I approved them all?

Try refreshing your screen (F5 on the keyboard). After a Refresh, the Notifications should reflect any recent approvals you have made.
