What is the process for delegating requests if a secretary calls in sick?The Secretary calls the OA to call in sick, lets them know of requests they are working on. The OA can then contact the Conflicts Dept., who can delegate the open requests to the covering secretary.
Once the form is submitted and goes to the Proposing Professional for approval, can the secretary make changes? No, after the intake request is sent to the Proposing Professional to be affirmed and electronically signed, it is not editable. This is why it is important to Share the request, or print it out for review prior to final submission. In the event that changes do need to be made, contact the Conflicts Dept. to have the request sent back to the Secretary for changes.
I want my contact in the Billing Dept. to be aware of my new intake requests. How can I add them to the process? You can use the Share functionality to share the request to anyone that you would like to view it.
How does the Secretary know when/if the Proposing Professional has in fact signed the request?Look at your Dashboard for the request. If the Next Step is no longer “Affirm Completed Intake”, the Proposing Professional has signed it.
Since we are no longer using CIMS, we won’t have “Y #s” so how can I keep track of pending time in Carpe Diem?The Request Number will replace “Y #s”, and you can use an “R” prefix, e.g. “R1234” to record pending time.
How can an Associate search for a pending matter using the Request #? Users will only have access to Requests that they have initiated (secretary) or requested (proposing attorney), or have been shared to them. The request could be shared to associates on the matter team to allow them access. The associate can search by the Request Number in the Quick Find box at the upper right of the screen.
If a Proposing Professional wants another professional to review a request and give input before signing, how would they grant access?The Proposing Professional can Share the intake request with the other professional.
Can the Proposing Professional delegate a request to another attorney to sign it, if they are going to be away with no access to the network for example? The approvals of intakes require that the Proposing Professional certify the information in an intake. This function is a process function (as opposed to an application function) and cannot be delegated.
Can you proceed without a pre-intake (which is possible w/ CIMS), i.e., in a real estate organization matter or if you run your own preliminary conflict search?No – please see the warning on the Quick Search that says this is not to be used for a conflict check.
I get a popup saying a question contains unsaved answers. What is this, and what do I do? If you have entered information for a grid question, but did not click the Add button, Intapp Open will give you this prompt to ask you if you would like to save your answers. To avoid this, be sure to click the Add button each time you enter an answer to a grid question.
What is the difference between Sharing a request, and Delegating a request?The main difference between Sharing & Delegating is that when you Share a request, you retain your rights and responsibilities, whereas when you Delegate a request, you transfer your rights and responsibilities to them. So, if for example, you just wanted someone to have access to a request, you could share it with them, but if you were going on vacation, and you wanted someone to take over for you, you could delegate it to them.
Can the "Dollar Value at Issue" field accept a range of dollar values?Currently, the "Dollar Value at Issue" field will not accept a range of dollar values. Conflicts will work with the vendor to allow the Dollar Value at Issue field to accept a range of dollar values.
In the Matter Profile view in Data Management is there a way to see the client number?Currently the client number is not displayed in Matter Profile view in Data Management. Conflicts will work with the vendor to have the client number displayed in Matter Profile view in Data Management.
Can commas be added to those fields which require a numerical dollar amount to be manually entered (e.g., the “Dollar Value at Issue” and the “Average Monthly Billing for First 3 Months” fields)? Currently commas cannot be added to those fields which require a numerical dollar amount to be manually entered. Conflicts will work with the vendor to allow commas to be added to those fields which require a numerical dollar amount to be manually entered.
Can the Dashboard display the Client Name/Number and the Matter Name/Number?Currently, the Dashboard will not display these fields. Conflicts will work with the vendor to update the Dashboard so the Client Name/Number and the Matter Name/Number are displayed. As a workaround, you can view your requests in the Requests tab, where you can add columns for Client Name/Number and the Matter Name/Number.
Is there a way to print from Data Management so the text appears larger?Intapp Open is a web-based application, and currently there is no way to increase the size of the font when attempting to print a web page. One work around would be to copy the information to a Word document and increase the font size there.
Why do certain selection lists on the request form have a scroll bar while others do not? If the size of the list exceeds the size of the drop-down (10 or 12 entries), there will be a scroll bar to allow the user to see all the options.
How do I set my Out of Office Delegation?Any user can set his or hers out-of-office delegation. Please see the Out of Office Delegation QRG for instructions.
Printing a Request Form – Specific Request Number:A specific request can be printed through Intapp Open. The number of pages of the printed form will vary depending on the amount of information filled out at the time the form is printed. Please see the Printing Forms QRG for instructions.
Printing a Request Form – Blank RequestA blank request can be printed through Intapp Open. The printed blank request form is 32 pages. Please see the Printing Forms QRG for instructions.
NOTE: The vendor has identified a bug in printing the blank request form if you are in an existing request. Certain data fields from the existing request will populate on the printed form. Conflicts will advise when the bug is fixed by the vendor. Conflicts is separately working on drafting a blank request form to be posted on ManattInsight.
